Many automations end with a message: a booking confirmation, a receipt, a reminder, a reply outside working hours. Done well, automatic messages make a small business feel organised and caring. Done badly, they annoy people, break trust and can break rules. Digital and communications roles in Ghana ask for email marketing tools, and many small business clients will ask you about WhatsApp.
Helpful, not spammy
Good automatic messages are:
- Expected. The person did something that makes the message natural, such as booking, ordering or asking a question.
- Useful. They contain what the person needs: the time, the price, the reference, what happens next.
- Short and clear. Easy to read on a small screen.
- Honest. If it is automatic, it does not pretend to be a personal reply, and it says how to reach a person.
Marketing messages are different from confirmations. Only send them to people who agreed to receive them, include a simple way to stop them, and honour every request to stop. Ghana's Data Protection Act, 2012 (Act 843) sets rules for collecting and using personal data, including phone numbers and emails.
Email automations
Form tools can send a response receipt; connector tools and email marketing tools can send a confirmation from a template when a form arrives. Use the person's name and booking details from the form, check the spelling of every field you insert, and send tests to yourself first. Keep the sender name recognisable, such as the business name.
