Customer support appears in remote VA adverts, in Ghanaian customer service adverts and in front desk roles. Many of these roles are advertised at entry level, which can make this a realistic first step. It also teaches skills every assistant needs: patience, clear writing and careful records.
The channels
Support happens by email, chat (website chat, WhatsApp, Instagram messages), and phone. Larger companies use a help desk tool such as Zendesk or Freshdesk, which turns each customer request into a ticket that is tracked until it is solved. Small businesses often use WhatsApp Business, with labels and quick replies.
A good reply in four steps
- Greet and acknowledge. Use the customer's name and show you understand: "Hi Hawa, I am sorry your order has not arrived yet."
- Answer or act. Give the answer, or say exactly what you are doing: "I have checked with the rider and it will arrive by 4pm today."
- Confirm the next step. "I will message you if anything changes."
- Close politely. "Thank you for your patience."
Keep replies short and clear. Use saved replies for common questions, but always adjust them to the customer's situation so they do not sound robotic.
